Job Purpose
The Receptionist is responsible for providing secretarial, clerical and administrative support in order to ensure that municipal services are provided in an effective and efficient manner.
Job Duties and Responsibility
1. Welcomes visitors by greeting them, in person or on the telephone answering or referring inquiries.
2. Answer all incoming calls and handle caller’s inquiries whenever possible.
3. Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail.
4. Re-directs calls as appropriate and take adequate messages.
5. Greet and Assist visitors.
6. Coordinate the repair and maintenance of office equipment.
7. Monitor the use of supplies and equipment.
8. Pick up and deliver the mail.
9. Assist in the planning and preparation of meetings, conferences and conference telephone calls.
10. Report any maintenance issues immediately to line manager, including all furniture, fittings and equipment.
11. Directs visitors by maintaining employee and department directories giving instructions.
12. Maintains security by following procedures; monitoring logbook issuing visitor badges.
13. Maintain Visitors Register, Muster Roll, Inward and Outward Register, Message and Call Register, Outgoing
Register.
14. Maintains telecommunication system by following manufacturer's instructions for house phone and console
operation.
15. Maintain Record of Tea Coffee, Newspaper on daily basis and regularly check with the invoices.
16. Maintains safe and clean reception area by complying with procedures, rules, and regulations.
17. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing
needs.
18. Contributes to team effort by accomplishing related results as needed.
